Fanhaven’s Inventory Management system tracks every unit of merch across your entire operation — from warehouses to trailers to individual merch booths.

Inventory locations

Inventory exists in different locations throughout your tour operation:

WarehouseYour main storage facility where bulk inventory lives
TrailerThe touring vehicle that carries merch between shows
BoothThe physical merch selling location at an event
ContainerCustom location type for any other storage (e.g., a storage unit, office, etc.)

Viewing inventory

Navigate to Inventory → Management from the dashboard to see a complete view of your inventory:
  • By item — See total quantities across all locations for each merch item
  • By location — See what’s stocked at each warehouse, trailer, or booth
  • By size — Drill into size-level detail for any item

Adding inventory

Select an item

From the inventory view, click on the merch item you want to stock.

Choose the location

Select where the inventory is being added (warehouse, trailer, booth, etc.).

Enter quantities

Enter the quantity per size. For non-sized items, just enter the total quantity.

Save

The inventory is updated immediately and reflected across all dashboards and POS sessions.

Moving inventory

When you need to transfer inventory between locations (e.g., from warehouse to trailer before a tour, or trailer to booth before a show):

Select “Move Inventory”

Choose the items and quantities to move.

Set source and destination

Select where the inventory is coming from and where it’s going.

Confirm the transfer

Review and confirm. Both locations are updated simultaneously.

Distributing inventory

Use Distribute to split inventory across multiple booths for an event. This is useful when you have multiple selling locations at a single venue.

Reorder alerts

Stay ahead of stockouts with reorder alerts:
  • Set a reorder threshold per item
  • When any item drops below the threshold across all locations, you’ll see a notification in the dashboard
  • Export reorder needs to share with your manufacturer or supplier
Running out of a popular item mid-tour is costly. Set conservative reorder thresholds, especially for your best sellers, and check inventory levels regularly.

Inventory accuracy

Fanhaven automatically adjusts inventory when:
  • A sale is made through the POS or online
  • A refund is processed and items are returned
  • An exchange returns one item and removes another
  • A comp is given away by staff
  • Inventory is moved or distributed between locations
