Before exploring the full feature set, it helps to understand how Fanhaven’s core concepts relate to each other.

Organization

Your organization is the top-level account. It owns everything — artists, tours, team members, and billing. Most teams have one organization, but agencies managing multiple acts may have several artists under one org. Roles within an organization:
RoleDescription
OwnerFull access, billing, can transfer ownership
AdminFull access to all features, can manage members
MemberAccess scoped to assigned artists and tours

Artist

An artist represents a single act or brand. Each artist has their own merch catalog, Fanpass, fan database, and financial accounts. If your organization manages multiple artists, each one operates independently.

Tour

A tour is a collection of events (show dates) grouped under an artist. Tours contain your:
  • Merch catalog and pricing
  • Inventory across all locations
  • Staff assignments and permissions
  • POS configuration (register layout, tipping, etc.)
  • Financial settings (payment splits, accounting)
Think of a tour as a “season” — it’s the operating container for a run of shows.

Event

An event is a single show date within a tour. Events have:
  • Venue details (name, address)
  • Date and time
  • Tax configuration specific to that location
  • Payment splits (artist vs. venue share, if applicable)

Booth

A booth is a physical selling location at an event — your merch table, tent, or stand. Each POS session is tied to a specific booth, which helps you track sales and inventory by location.

Fanpass

Fanpass is the fan-facing identity system. When a fan signs up for an artist’s Fanpass, they get:
  • A digital wallet pass (Apple Wallet or Google Wallet)
  • Access to the artist’s online merch store
  • Eligibility for rewards, discounts, and referral bonuses
  • A profile in the artist’s fan database
Fanpass is the bridge between your live shows and your digital fan relationship. Every fan interaction — purchases, sign-ups, event attendance — feeds into their Fanpass profile.

Staff

Staff members are the people working your merch booths. They access Fanhaven through the POS app and can be assigned different permission levels:

AdministratorFull POS + dashboard access
Merch StaffPOS access for selling
GuestLimited POS access
Venue RepVenue-specific access
